This Privacy Policy explains how Eide Systemhub (“we”, “us”), the company behind the Appointly service (appointly.in and app.appointly.in), collects and processes personal data. Eide Systemhub is registered in Norway with organization number 933597598 and is the data controller for personal data processed through Appointly's marketing website. For data processed inside the Appointly application on behalf of salon businesses, we act as a data processor for those businesses.

1. Data we collect

Account data: name, business name, email, phone number and password hash for users who sign up for Appointly.
Customer data uploaded by salons: appointment details, customer name, phone number and service notes provided by the salon to operate bookings.
Usage data: log files, IP address, browser type, pages visited and timestamps, collected to keep the service secure and reliable.
Communication data: WhatsApp message delivery status from our messaging provider (Twilio) so we can confirm reminders were sent.

2. How we use data

To provide and operate Appointly's booking and reminder features.
To send WhatsApp appointment confirmations and reminders on behalf of salons.
To respond to support requests sent to support@appointly.in.
To detect and prevent fraud, abuse and security incidents.
To comply with legal obligations.

3. WhatsApp messaging

Appointly uses Twilio Inc. as its WhatsApp Business messaging provider. When a salon sends a confirmation or reminder, the recipient's phone number and message body are transmitted to Twilio for delivery through the WhatsApp Business Platform operated by Meta. Recipients can stop receiving messages from a salon by replying STOP.

4. Subprocessors

We rely on a small number of vetted subprocessors to operate the service, including hosting, messaging (Twilio for WhatsApp delivery) and email infrastructure. A current list is available on request from support@appointly.in.

5. Cookies and analytics

The Appointly marketing website (appointly.in) uses Google Analytics 4 to understand which pages help salon owners and to measure conversions across our marketing site and app.appointly.in. Analytics cookies are only set after you accept in the consent banner shown on your first visit; if you decline, no analytics cookies are set and no analytics data leaves your browser. You can change your choice at any time by clearing cookies for the appointly.in domain. We do not use advertising cookies and we do not sell personal data.

6. Data retention

Account and appointment data is retained for as long as the salon's account is active. On account closure, personal data is deleted or anonymized within 90 days unless we are required to keep it for legal or accounting purposes.

7. Your rights

Depending on your jurisdiction you may have the right to access, correct, delete or export your personal data, and to object to or restrict its processing. To exercise these rights, contact support@appointly.in.

8. Security

Appointly is served exclusively over HTTPS. Passwords are stored as salted hashes. Access to production systems is restricted to authorized personnel of Eide Systemhub.

9. International transfers

Appointly serves customers in India and may transfer data to subprocessors located outside India and outside the European Economic Area. We rely on appropriate safeguards, including standard contractual clauses where required.

10. Changes to this policy

We may update this policy from time to time. Material changes will be announced inside the application or by email.
